Summary

Generates invoices, account statements and credit memos while maintaining and auditing accounts receivable AR aging, files and records. Responsible for answering incoming calls, taking leads and directing to appropriate associates, flow of correspondence as well as additional clerical duties.

Responsibilities

Typical job responsibilities include, but are not limited to:

  1. Process all invoices on a daily basis using Aspire software verifying invoices for accuracy and making corrections when necessary.
  2. Work with internal team to aid in collection of Accounts Receivable.
  3. Maintain accounts receivable files and records.
  4. Maintain invoicing system; follow month end closing procedures.
  5. Post customer payments by recording checks, credit card transactions and electronic payments.
  6. Research and apply unallocated cash.
  7. Assist with month end close (journal entries, reconciliations, etc.).
  8. Prepare monthly financial reports.
  9. Assist with year-end financial statement review.
  10. Various analysis of financial information as requested.
  11. Back-up for answering incoming calls and taking phone leads which includes scheduling of smaller jobs.
  12. Other miscellaneous duties as assigned

Education

Formal post-high school education and/or certification in accounting or related field. Associates Degree or above preferred.

Experience

Minimum of 1-2 years of related experience (landscaping or construction industry preferred) or an equivalent mix of education and accounts receivable experience. Experience with accounting processing software (Aspire preferred but not required). Strong written and verbal communication skills. Time management, creative problem solving, organization, and customer service skills/experience required. Spanish speaker is a plus.
